These Terms & Conditions ("Terms") govern your membership with Flow State Ltd and use of our services. By applying for membership, you agree to these Term

1. Membership

  • Membership is by application only. We may accept or reject applications at our sole discretion.

  • Membership is personal and non-transferable.

  • Members must be at least 18 years of age.

  • We may limit membership numbers at any tier.

2. Fees & Payment

  • Annual fees are payable in full upon acceptance. Monthly fees are payable on the 1st of each month via Direct Debit.

  • If payment fails, you have 7 days to resolve. Access may be suspended until payment is received.

  • We may increase fees with 60 days' written notice.

  • Founding Member pricing is locked for continuous membership only.

3. Services

  • We provide concierge services, gym access, personal training, recovery, wellness, and network events as specified in your membership tier.

  • Services are arranged through third-party providers. Availability varies by location.

  • We use reasonable endeavours to fulfil requests but cannot guarantee specific facilities, trainers, or times.

  • Unused sessions or credits do not roll over. No refunds for unused services.

4. Partner Facilities

  • Access to partner gyms and facilities is subject to their rules and availability.

  • We do not own or operate partner facilities.

  • Partner facilities may change without notice. We will provide alternatives where possible.

5. Personal Training & Recovery

  • Sessions require 24 hours' notice to cancel. Late cancellations may be forfeited.

  • Trainers and recovery providers are independent contractors, not Flow State employees.

  • Certain services may require health screening.

6. Network & Events

  • Member events are subject to availability and capacity.

  • Event cancellation policies will be communicated at registration.

  • We may cancel, reschedule, or modify events with reasonable notice.

7. Membership Card

  • Your card remains Flow State property and must be returned upon termination.

  • Cards are non-transferable. Misuse may result in immediate termination.

  • Report lost or stolen cards immediately. Replacement fees apply.

8. Member Conduct

  • Conduct yourself professionally and respectfully at all times.

  • Comply with all partner facility rules.

  • Abusive, discriminatory, or illegal behaviour will result in immediate termination without refund.

9. Health & Safety

  • Physical activity involves inherent risks. You participate at your own risk.

  • Consult a physician before beginning any exercise programme.

  • Disclose all relevant health conditions to trainers and service providers.

10. Cancellation & Termination

  • Monthly members: 30 days' written notice required.

  • Annual members: Fees are non-refundable.

  • We may terminate immediately for breach of these Terms, non-payment, or misconduct.

  • Upon termination, return your membership card within 14 days.


11. Guarantees

  • Completion Guarantee: If we fail to arrange 90% of your booked sessions over any 3-month period, you may be entitled to a refund of up to 3 months' fees.

  • Booking Guarantee: We aim to respond to requests within 24 hours. Failure may result in service credits.

  • Guarantees are subject to you providing accurate information and complying with these Terms.

12. Liability

  • We are not liable for acts or omissions of partner facilities or third-party providers.

  • We are not liable for loss of personal property at facilities or events.

  • Our total liability is limited to fees paid in the 12 months preceding any claim.

  • Nothing excludes liability for death or personal injury caused by our negligence.

13. Privacy

  • We process your data in accordance with our Privacy Policy.

  • By joining, you consent to us sharing necessary data with partner facilities and providers.

  • We may use your image in marketing unless you notify us otherwise.

  1. Confidentiality

  • Keep all member information and network deal flow confidential.

  • Do not share member details with non-members without consent.

15. General

  • These Terms are governed by the laws of England and Wales.

  • We may amend these Terms with 30 days' notice.

  • If any provision is invalid, the remainder continues in effect.
